Ashtrees Cuts LLC · computer integrated systems design
Six service lines delivered by Ashtrees Cuts, each one a limb of the same integrated operating system. We assess the existing estate, cut what does not carry weight, and dress what remains so it works as one.
Service one
Field Ops System Integration is where most engagements begin. A field service business rarely suffers from a shortage of software; it suffers from software that refuses to speak to its neighbours. The scheduling board lives in one product, the customer record in another, timesheets in a spreadsheet and the parts list in an accounting package that was never designed for the field. Dispatchers become human integration layers, copying identifiers by hand and reconciling conflicting versions of the same job at the end of each day.
Our approach is to inventory every system, interface and manual workaround that touches field delivery, then map each one against the operational outcome it is supposed to serve. Anything that cannot name a clear outcome is a candidate for removal. Anything that carries real weight is retained and integrated at a defined seam. We build the middleware, event flows and shared identifiers that let the surviving systems exchange clean data, and we stage the cut-over so no crew loses a working day. The result is one field operating system in which a job created in the office is the same job the technician sees on the device and the same job finance reconciles at month end.
Service two
Mobile Work Order Platforms put the job in the technician hand, in a form that survives the conditions of real field work. We design and build offline-tolerant applications that continue to accept data when the truck rolls out of signal range and reconcile automatically once connectivity returns. Technicians capture notes, photographs, parts consumed, meter readings and customer signatures directly on the device, in a workflow shaped around how the work is actually performed rather than how an office process diagram assumes it is performed.
Behind the screen, each ticket is versioned and auditable. When a job is reopened, reassigned or corrected, the history travels with it. Completed tickets close in the office in near real time, which removes the end-of-day re-keying that consumes so much administrative time and introduces so many transcription errors. We test every build on the devices and in the environments your crews actually use, including bright sunlight, wet gloves and low battery, then harden the interface until the software stops being something the crew notices.
Service three
Fleet and Route Telemetry joins vehicle telematics, fuel transactions, driver assignment and route planning into a single telemetry layer that dispatchers can trust. Rather than forcing a scheduler to consult four separate browser tabs to answer a simple question about where an asset is and what it is doing, we present one live map carrying vehicle state, job assignment and route adherence together. Route plans are then built against measured miles rather than remembered ones.
We also turn that feed into operational improvements that compound. Idling time, off-route detours, after-hours movement and unassigned vehicle use are surfaced as plain signals with clear thresholds, not as a wall of raw telemetry. Customers of our integration work routinely discover that simple routing corrections made on real data return more than the cost of the system within the first season of use. Telemetry is only valuable when it changes a decision, so we design every view around the decision it is meant to support.
Service four
Job Costing Dashboards convert field activity into financial truth while the job is still open. We model labor hours, materials, subcontractor charges and equipment time into a costing engine that updates as data is entered, so a manager can see margin per job and per work order before the final invoice is prepared. The dashboard does not wait for month end to tell the business where money is being made and where it is quietly leaking away.
Because the costing layer sits on the same integrated data as scheduling and mobile work orders, there is no separate reconciliation exercise and no second set of numbers to argue about. Estimated versus actual figures are presented side by side at line item level, with variance called out on a plain scale. We configure thresholds and alerts around the specific measures that matter to your operation, then train your staff to read and act on the dashboard rather than simply admire it.
Service five
Customer Portal Builds extend the integrated system outward to the people who commission and pay for the work. We design branded portals where clients can view work history, approve quotations, download completed reports, review asset records and raise new requests without telephoning the office. The portal is drawn to match the way your customers already think about service, so adoption does not depend on training or persuasion.
Each portal is built on the same identity and data layer as the internal system, which means permissions, job visibility and document access are governed in one place rather than duplicated. We pay particular attention to the moments that create the most inbound calls, such as quote approval and report retrieval, and we remove the friction from those paths first. A well-built portal reduces administrative load, accelerates payment and gives the customer a reason to prefer working with you.
Service six
Crew Safety Tracking Systems bring digital checklists, lone-worker monitoring, credential expiry tracking and incident capture into one searchable register. Safety obligations are heavy in field service, and paper systems tend to fail at exactly the moment they are needed, when records must be found quickly and proved complete. We replace that fragility with structured digital records that are timestamped, attributable and retrievable in seconds.
The system tracks operator certifications and equipment inspection dates, raising warnings before a credential lapses rather than after. Lone-worker check-ins and emergency escalations are configured around your actual procedures, and incident reports prompt for the facts that regulators and insurers ask for. Every safety record lands in the same integrated environment as the work it relates to, so an incident can be reviewed together with the job, the crew, the asset and the conditions on the day.
Process overview
Every engagement follows the same three cuts, whatever combination of services you select. We begin with assessment, because cutting before measuring is how systems lose their load-bearing members. We continue with integration, delivering value in stages that map to operational priority. We finish with dressing, sealing the work with documentation, training and a support window so the system stays healthy once we step back.
Full inventory of systems, interfaces and manual workarounds, mapped against named operational outcomes. You receive a written assessment naming what stays, what is cut and what is grafted.
Staged builds across the six service lines, sequenced so the highest-value limb is grafted first. Cut-over is scheduled around your busy periods, not ours.
Documentation, staff training, dashboards handed over with ownership, and a support window aligned to the dormant season when change is safest.
If you already know which limb needs attention, the assessment can be scoped to that service alone. If the whole estate feels tangled, we will assess all six and propose a sequence that respects your operating calendar. Either way, the first step is a conversation about the operation as it stands today.
Next step
Describe the systems you run, the ones that frustrate you and the ones you cannot live without. Ashtrees Cuts LLC will assess the estate, propose a sequence of cuts and integration grafts, and tell you plainly which limbs are worth keeping. There is no obligation and no pressure to accept a scope larger than the problem deserves.
